AGM Update on Health and Safety

Dear AGM Registrants,

This is an update on JASNA's policies and plans regarding COVID-19. Please review it carefully so that you are not delayed when you arrive at the AGM.  

As you have probably seen, governmental organizations, airlines, and companies are taking a firmer stand on vaccinations and masking in public places. We can hope these additional measures will lower infection rates and result in conditions that enable us all to feel more comfortable in gathering in October. Many of the protocols now being widely adopted match the policies that JASNA decided on some time ago. As of today, the City of Chicago's guidelines for public gatherings include requiring attendees to be fully vaccinated, with a check of vaccination documentation at check-in; alternatively, people who cannot be vaccinated due to a medical condition or sincerely held religious belief must present a negative COVID test result. Here is what you will need to do to attend the AGM.

If you are vaccinated: Please bring your official vaccination certificate or a photocopy. We will not copy your certificate; we will conduct a quick visual inspection and ask you to sign an acknowledgment at check-in.  

If you are not vaccinated: Please plan ahead. Anyone presenting a test result in lieu of vaccine certification must take a COVID test no earlier than Tuesday, October 12. PCR testing is preferred. A full result, not a QR code, is required; results may be digital (e.g., emailed from your test provider). To get a test, call your health care provider, use an FDA-approved test at home (ensuring you take the test no earlier than October 12 and can obtain the results before arrival at the AGM). Rapid tests are also available for travelers at Chicago airports at a cost of $120. Depending on the date of your test, you may be asked to take another while at the AGM. You will be required to show the test result and sign an acknowledgment at check-in.

At the AGM: The City of Chicago's guidelines include the wearing of face coverings whenever in public indoor spaces. It is currently planned that masks will be required in JASNA-contracted meeting and social spaces, and at JASNA-sponsored activities at indoor locations away from the hotel. Masks are optional during fully outdoor activities (e.g., walking tours).  

Dining: We will work with the hotel to maximize ventilation and spacing in dining spaces. Attendee numbers are where we expected them to be, given the pandemic, which allows us to increase spacing. (Banquet seating sign-up will be done on-site, by the way.)

Other Safety Information: Chicago's Magnificent Mile is a world-famous location for luxury shopping, top restaurants, and grand hotels, and is considered one of the safest areas of the city. As in any large city, you will want to be aware of your surroundings and belongings. Closer to the AGM, the Host Region will make available a list of convenient restaurants in the immediate area, as well as some "destination" dining spots you may want to check out. Patio dining is available at many restaurants, including some rooftop locations along the Magnificent Mile.

Important Dates: Beginning Thursday, August 12, cancellations of AGM registration will incur a $50 fee. Tour cancellations after August 14 forfeit the entire cost of the tour.
